PROCEDURES

1. General

  • Photo sessions may take place Monday to Friday between 9:00 a.m. to 5:00 p.m. ;

    • In the greenhouses: Only during the low season and according to availability;

  • The client must be able to carry out the shoot with his own equipment (e.g. extension cords, lights, generator). The Montréal Botanical Garden does not loan nor rent any equipment;

  • The applicant must sign an agreement stating that the photos taken are not to be used under any circumstances to harm the reputation of the City of Montréal and under no circumstances the logo or name of the City of Montréal (Ville de Montréal) be used in connection with the production.

2. Conduct regulations to be respected

  • No equipment nor crew members will be allowed in the flower beds;

  • The signing of a contract does not stipulate exclusive use of the area used for shooting. The applicant must accept and respect the presence of visitors and employees and not restrict access to the premises;

  • The crew must work in one location at the time and in the presence of a security guard;

  • For any crew of more than 2 people, it will be mandatory to rent a room for wardrobe changes, make-up and lunch area. The Montréal Botanical Garden offers a Snack Bar service to tend to your needs (during high season only). The applicant may also use the services of his/her own caterer;

  • Since photo sessions are usually conducted during the day and in the presence of visitors, the Montreal Botanical Garden representative will have sole decision as whether to consider the shoot appropriate or not. The following photo shoots will not be accepted on our premises: scenes including violence, obscenity, fashion models in the flesh or partly disrobed, wearing bathing suits or underwear;

  • Disrespect of these conduct regulations will result in the immediate stop to the photo shoot and the immediate expulsion of the crew from the Montreal Botanical Garden.

3. Presentation of the project

  • The applicant must complete the requested information form;

  • Remit the time of the photo shoot;

  • Remit a list of wardrobe to be worn;

  • Remit a list of all technical material required on site for the shoot.

4. Confirmation

The Rental Agent will contact you as soon as possible to let you know whether your photo request has been approved and, if so, to arrange an appointment.
High season may entail a large number of visitors. Due to this reason as well as a short time lapse between the date of request and the date of shooting may result in the refusal of your request.

5. Appointment with Rental Agent

When meeting with the Rental Agent, you will:

  • visit the site(s);

  • sign the contract as well as its annexed conditions;

  • pay the entire rental cost no later than 10 days prior to the date of shooting or at the time of signature.
